Effective for all bookings made with Iconic Travellers

1. General Disclaimer

  • Iconic Travellers will not be responsible for any incorrect or false information submitted by clients to government authorities—including for registration, COVID-19 reports, e-passes, or any travel documentation required as per prevailing government guidelines.
  • Any loss arising from the cancellation of flight, train, or bus tickets—whether booked through us, directly by the client, or via a third party—will not be borne by Iconic Travellers. Clients will be responsible for any related costs, losses, or inconvenience.
  • While we act as a trusted travel partner and ensure operational support through our network of destination managers, our liability is limited to delivering services listed in the confirmed itinerary and for the agreed cost.

2. Hotel & Transport Arrangements

  • We handle hotel bookings, transport, sightseeing, and experiences as per the agreed itinerary. Services are subject to availability and pricing at the time of confirmation.
  • Hotel room availability is dynamic. Final confirmation is only possible after advance payment.
  • Standard hotel check-in time is 2:00 PM, and check-out is 12:00 noon. Early check-in or late check-out is subject to hotel discretion.

3. Passport & Flight Details

  • Scanned copies of passports (first and last page) must be shared within 2 hours of making the advance payment. Delay in sharing documents may result in increased airfare, which will be the client’s responsibility.
  • If a passport is unavailable, full passenger names (as per passport) must be provided. Iconic Travellers will not be responsible for name mismatches that result in denied boarding.
  • If the passport has just been applied for, a copy of the application is required before we can proceed with bookings.
  • We are not liable for flight delays, cancellations, or rescheduling made by airlines.

4. Force Majeure

Iconic Travellers shall not be held responsible for any disruption or cancellation due to force majeure events, including but not limited to:

  • Natural disasters (earthquake, flood, fire, etc.)
  • Acts of God
  • War, invasion, strikes, terrorism, civil unrest, or government restrictions
  • Nuclear or radioactive incidents No compensation will be provided in such scenarios beyond our control.

5. Package Inclusions/Exclusions

  • Package cost does not include entry fees to monuments, museums, activities, or water sports unless specifically mentioned.
  • Any additional services or experiences availed directly by the traveler at the destination will be at their own cost.

6. Payments & Booking Policy

  • Advance payment is mandatory to begin hotel and flight bookings.
  • Payment can be made:
    • Online (Recommended): via our secure payment gateway
    • Offline: Bank deposit or NEFT transfer to our official bank account
  • Booking confirmation is subject to receipt and update of payment in our system.
  • The entire balance must be cleared at least 30 working days before travel. Failing that, your hotel bookings may be auto-canceled without refund.
  • Transaction charges as levied by banks/payment gateways are to be borne by the client.

7. Rescheduling & Cancellation

  • A rescheduling fee of INR 1000/- will be charged once the BCR (Booking Confirmation Receipt) is issued.
  • An additional INR 10,000 per passenger will be charged as our service fee in case of cancellation of land arrangements, on top of hotel cancellation charges.

8. Flight Tickets:

  • Non-refundable tickets: No refund will be issued once booked.

9. Hotels, Transfers & Activities:
